4 Things High-Performing Property Management Teams Do Differently

In commercial real estate, property management is too often treated as a back-office function focused on operations, expenses, and keeping the lights on. That thinking can limit performance. When property management is done right, it drives asset value, tenant retention, and long-term returns for the owner.

We sat down with Delecia Lucas, Client Manager at Holt Lunsford Commercial, to break down what separates average teams from high-performing office property management teams and how to build one.

  1. Start with the Owner’s Strategy

Too many teams manage buildings the same way regardless of the objective. That’s where things
    break down.

When the strategy is clear, decisions get easier. If the goal is long-term hold, the focus shifts to tenant relationships and retention. If it’s value-add, attention moves to cost control and targeted improvements. The best teams stay aligned with that strategy every day.

  2. Communication is the Difference

Most issues don’t come from lack of experience; they come from misalignment. The teams that perform well don’t leave communication to chance. Expectations are clear. Updates are consistent. Leasing, management, and ownership stay in sync. When everyone is aligned, execution follows.

  3. Everyone Impacts Performance

It’s easy to assume performance comes from leadership alone. It doesn’t.

Engineering, accounting, front office, and property management all shape how an asset runs and how tenants experience it. Strong teams understand that and operate as one group, not separate functions.

  4. Leadership Without Ego

As Delecia puts it, the best leaders don’t try to control everything, they create clarity and let their teams do their jobs. Ideas can come from anywhere. When people are trusted to step up and take ownership, things move faster and better decisions get made.

Execution Builds Trust

Delecia and her team partnered closely with ownership at Overton Centre in Fort Worth, Texas to deliver a long-planned amenity center and lobby renovation. The goal was to modernize the appearance of the lobbies while adding amenities to position the building among its competitive set, improve the tenant experience and increase the long-term value of the property. The project spanned several years and involved multiple transitions in designers, contractors, and internal team members.

What could have resulted in misalignment and frustration instead became a strong example of disciplined execution by management. Consistent communication was maintained with ownership throughout the project. On-site teams, including engineers and administrative staff, were kept informed and aligned. Expectations were clearly defined and carried out through each phase of the project.

Despite the complexity, the project was delivered in line with the owner’s original vision, with minimal issues at completion. More importantly, the process strengthened the relationship with ownership and reinforced trust in the property management team’s ability to execute.
